Main Duties & Responsibilities:

  • Process contracts and invoices generated by Sales Executives, ensure that all details are correctly inputted in the system
  • Create records for new clients, including contact details and other information

  • Maintain up-to-date department documentation for statistics purposes

  • Quote charter flights take into account availability, fleet optimization and operational restrictions

  • Achieve set team/individual revenue targets
  • Share of knowledge with Junior Sales Executives and assist them whenever needed

  • Coordinate confirmed flights with the Operations Department and Flight Support
  • Define and offer suitable alternative options in case of restrictions

  • Provide encouragement to team members, communicate team goals and identify areas for new training or skill checks

MY FLIGHT EXECUTIVE 

Department: Client / Broker Support

Preference will be shown to candidates with aviation experience although candidates with experience working in a high level customer service environment will also be considered. 

Main Duties & Responsibilities:

  • Broker and Client supportCo-ordination of daily operations between internal departments
  • Keeping up to date with all flight changes and updating Work systems and team members for alterations for rescheduling
  • Define and offer suitable alternative options in case of restrictions
  • Certify that required documentation is available for our Operations department
  • Ensure a high level of customer service with good feedback
  • Adhere to relevant procedures described in the OM’s
  • Communication of operational restrictions

TRAVEL ASSISTANT 

Department: Crew Travel Support

Preference will be shown to candidates with aviation/travel experience. GDS knowledge would be an asset.

Main Duties & Responsibilities:

  • Create tailor-made flight, accommodation and transportation arrangements using different booking systems
  • Promptly manage end to end travel itineraries within the agreed company budget
  • Ensure all employees are fully informed about the proposed travel plans, and/or any changes associated with them such as cancellations, refunds
  • Build and maintain positive working relationships using different communication tools such as email, phone
  • Address problems and issues as they arise, and find mutually acceptable and practical solution
  • Keep up to date with all the flight changes and maintain an open communication with all involved
  • Track all the flight changes using our in-house Flight Operating system
  • Perform additional duties as assigned by your manager

Department: Operations 

Main Duties & Responsibilities:

  • Exercising operational control within safe efficient planning and monitoring of a flight
  • Studying aircraft performance and limitations; making sound decisions on flight acceptance
  • Providing day to day admin., functional and technical direction to Flight Dispatch and Load Planning
  • Analysing operational conditions; identifying and resolving issues which can restrict operations due to unexpected events such as the weather, unavailable slots etc.
  • Arranging services related to handling, slots and permits for the flights
  • Scheduling the Fleet while respecting the crew duty times and financial budget
  • Performing Flight Watch; determining if changes to operational and meteorological conditions may affect the safety of flights; communicating those changes to the PIC
  • Providing PIC with a thorough and professional crew briefing, covering all significant information which may impact the operation of his flight
  • Initiating ERP; assessing and issuing Flight Incident Reports; maintaining a written log during the incident
  • Resolving and communicating will all involved any operational limitations as required
  • Liaising with the Ground Operations Manager, for the purposes of maintaining dispatch standard operating procedures and all applicable sections of the Company Ops Manual
  • Running Reports and statistics related to Operational matters

Required Skills & Experience:

  • Min. 4 years of experience within similar role incl. 2 years as a Senior Dispatcher
  • Pacific, Atlantic Route and A320/340 experience; ETOPS
  • EASA Dispatcher License is a MUST
  • Long-Haul and Worldwide operations experience
  • Fluent English (spoken and written)
  • Well organized with the ability to multitask, work under pressure alone and in a team; maintain a polite and professional manner at all times

CATERING COORDINATOR  

Department: My Flight Catering

Main Duties & Responsibilities:

  • Delivering exceptional VIP customer service to clients.
  • Building-up and maintaining supplier relations.
  • Dealing with catering options for flight reservations, checking availabilities and operational feasibilities.
  • Following up with clients for confirmation and necessary catering options for flights.
  • Updating CRM system for any future profile preferences.
  • Coordinating catering arrangements and any other client requirements or offering alternative options in case of restrictions.
  • Coordinating with sales team as necessary for trip requirements and budgets.
  • Collaborating with team members, accounting and operations departments to ensure full over view of smooth operations for daily operations.

Required Skills & Experience:

  • Catering experience within Business Aviation sector would be an advantage; dealing with VIP customers
  • Deadline and teamwork orientated
  • Proficiency in English - written and spoken; additional language would be an advantage

TECHNICAL RECORDS SUPERVISOR  

Department: CAMO

Main Duties & Responsibilities:

  • Supervise and control staff in the Technical records section
  • Review and verify the accuracy and completeness of Airframe, Engine & APU records
  • Ongoing maintenance and review of Airframe, Engine and APU records during ownership up to and including time of sale.
  • Responsible for the collation and management of original records with due consideration for the regulatory and program storage obligations
  • Audit compliance of Airworthiness Directives and Service Bulletins for each Airframe, Engine & APU and ensure correct/current status is entered into the company database and records management system.
  • Update the company database for the tracking of accurate information for engines, components, inspections and other technical information
  • Ensure all Airframe, Engine & APU records are updated to accurately reflect the latest technical publication issue and are filed in the correct location
  • Communicate with all relevant internal and external parties to ensure all engine data is obtained

     Required Skills & Experience:

    • Must have at least 3 years' experience working in a records management capacity within the aviation industry
    • Wide and varied knowledge of all Technical Engine Records is essential, including operator and MRO records.
    • Good knowledge of Maintenance Tracking Systems, CAMP, OASES Etc.
    • Good knowledge of MS-WORD and Excel
    • Good Knowledge of PART M requirements & EASA Regulations
    • Good understanding of LLP trace requirements
    • Is fastidious in their approach to Records Management

    AIRWORTHINESS MANAGER  

    Department: CAMO

    Main Duties & Responsibilities:

    • Maintenance control of Company Aircraft and Liaison with various Part 145 facilities worldwide
    • Management and control of Camo/Planning officers
    • Issue and Management of Line and Base Maintenance Work Packs and Task Cards In Accordance With the Approved Maintenance Programmes
    • Control of Out Of Phase Maintenance Requirements, in accordance with the Approved Maintenance Programmes
    • Creation, management and presentation of the long-term fleet maintenance plan.
    • Recommendation of input dates, considering variables such as maintenance due dates and operational needs
    • Review of service bulletins, airworthiness directives and modification in respect of planning requirements.
    • Planning IT system (currently OASES system) lead and coordinator. Liaison with suppliers, trainers etc on system and staff needs and contract administration.
    • Loading and monitoring of aircraft onto OASES system, assessment of operational and ICA requirements for specific aircraft configurations.
    • Lead for software changes and patches before implementation into the live system
    • Day to day team lead of planning team in department
    • Liaison with Company Operations and Aircrew
    • Other Areas of Technical Services as required.
    • Overseas travel may be required occasionally

    Required Skills & Experience:

    • Knowledge and awareness of EASA Airworthiness Regulations and Requirements
    • Effective Communicator to deal with internal and external customers and agencies
    • Previous Airline/MRO Planning Experience
    • Current Training including Human Factors, Fuel tank Safety, EWIS, Continuation Training, (SMS)
    • Minimum of 5 years’ experience in a similar role and familiar with all aspects of Aircraft Maintenance
    • Recent Boeing and Airbus Experience is essential
    • Extensive knowledge of all aspects of the OASES tracking system
